Introducing CaveauCRM: Why We Built an AI-Powered CRM From Five Open-Source Platforms

We were tired of toggling between five dashboards and manually syncing data. So we connected SuiteCRM, FOSSbilling, Baikal CalDAV, n8n, and CaveauAI into one automated system. Here is what we built and why.

The Problem Nobody Talks About

Every growing business eventually ends up with the same problem: too many platforms, not enough connections between them.

You have a CRM for tracking deals and contacts. A billing system for invoices and support tickets. A calendar for scheduling. Maybe a workflow tool for automating repetitive tasks. And increasingly, some kind of AI layer for making sense of your growing pile of client interactions.

Each platform is good at what it does. The problem is not the individual tools — it is the gaps between them. When a new client signs up through your billing portal, somebody has to manually create them in the CRM. When a deal closes, somebody has to remember to set up a billing account. When a support ticket arrives at 2am, nobody knows until they check their dashboard the next morning.

These gaps are not just inconveniences. They are where revenue leaks, SLAs get missed, and client relationships silently deteriorate. The manual sync tax across disconnected systems compounds with every new client, every new deal, every new ticket.

Eight HMAC-signed webhooks capture every meaningful business event. Six automated workflows handle the response chain. When something happens in one system, the others react immediately and appropriately.

Real Scenarios, Real Automation

The 2am urgent ticket. A client submits a critical support ticket through FOSSbilling. CaveauCRM ingests the ticket into the AI knowledge base, detects the urgent priority flag, fires a Telegram alert to the on-call team, and creates a follow-up task in SuiteCRM assigned to the account manager. By the time you pick up your phone, you already know what happened, who it affects, and what needs to happen next.

The deal won celebration. A sales rep marks a deal as Closed Won in SuiteCRM. CaveauCRM automatically creates a billing account in FOSSbilling, books an onboarding call in the calendar for the next available Mon-Fri slot between 9-17 CET, sends a Telegram notification to the team, and updates the client health score to green. The manual post-sale checklist that used to take 30 minutes now takes zero.

The Monday morning health report. Every Monday at 8:00 CET, CaveauCRM calculates health scores for all active clients. Green means everything is healthy. Amber means watch closely — maybe response times are creeping up or an invoice is approaching overdue. Red means intervene now. The report arrives in Telegram with specific deduction reasons, so you know exactly which clients need attention and why.

The invoice escalation. An invoice passes its due date. CaveauCRM triggers an automated sequence: first a polite reminder, then a task for the account manager, then a flag on the client health score. Each step is logged, tracked, and visible across all platforms. No more "I forgot to follow up."

The AI That Makes It Smart

Where CaveauCRM diverges from traditional integration platforms is the AI layer. Every client interaction — every ticket, invoice, meeting note, and deal update — gets indexed into a RAG-powered knowledge base through CaveauAI.

This means you can ask questions in natural language: "What happened with Acme Corp last quarter?" "Which clients have had more than 3 urgent tickets this month?" "When was the last time we talked to Nordic Services?" And you get cited, accurate answers in seconds — not a vague summary, but specific references to the tickets, invoices, and meetings that back up the answer.

Client health scoring takes this further. Instead of relying on gut feeling to assess which clients are thriving and which are at risk, the system calculates a quantified score based on real metrics: ticket volume and severity, response time trends, invoice payment history, and engagement frequency. A client with three overdue invoices and two unresolved urgent tickets does not slip through the cracks anymore — they show up in red on Monday morning with specific reasons why.

The Open-Source Difference

Every component of CaveauCRM is open source. SuiteCRM, FOSSbilling, Baikal, n8n — all community-maintained, all source-available, all free of per-seat licensing.

This matters for three reasons:

  1. No vendor lock-in. If you want to swap out FOSSbilling for a different billing system tomorrow, you change the webhook endpoints and update the n8n workflows. The architecture is modular by design.
  2. Full data ownership. Everything runs on your infrastructure. EU bare-metal servers, WireGuard encrypted networking, HMAC-signed webhooks. Your client data never touches Salesforce servers in Virginia or HubSpot processing centres in Massachusetts.
  3. No per-seat tax. Traditional CRM platforms charge $25-300 per user per month. CaveauCRM costs infrastructure — typically a fraction of what you would pay in licensing alone. Scale your team without scaling your CRM bill.

What We Learned Building It

We built CaveauCRM for ourselves first. Blue Note Logic runs on this system — our CRM, our billing, our support tickets, our AI. Every design decision was tested against real operations, real clients, and real late-night support tickets.

The biggest lesson: the value is not in any single platform. It is in the connections between them. A CRM that does not know about overdue invoices is half-blind. A billing system that does not know about deal stages is disconnected from sales. A calendar that does not auto-schedule onboarding when deals close is just another tool you have to remember to update.

The second lesson: HMAC-signed webhooks with proper event schemas are worth the upfront investment. Every payload is tamper-proof, every event is structured, and every workflow knows exactly what data to expect. When you build on solid event infrastructure, adding new automations becomes trivial.
